Notifications
Automation settings in Rubex can be used to set up automatically generated notifications. These notification options allow you to select when and how you are notified about Rubex actions.
A notification can be added to an Account, Cabinet, Drawer, Folder, or File.
To view notification information. Select an Account, Cabinet, Drawer, Folder, or File, then select notifications on the details menu on the right, represented by a bell.
This will bring up the automation panel on the right hand side. This panel will show any existing automation settings for the item you have selected.
To create a new notification setting, start by clicking on the + button on the top right of the automation panel.
There are many automation settings available to you in Rubex, for notifications we are looking at two specifically:
- Notify
Email automation settings allow you set up email notifications that will go out to any existing user or guest user. You can even provide a non-Rubex user email address for them to receive notifications if you so wish.
Notify automation settings allow you to set up notifications that occur entirely within Rubex. When using 'Notify' automation settings, the notification will appear in the 'Activity Center'. The 'Activity Center' can be accessed by clicking on the icon at the very top right of the Rubex screen. This is represented by a 'List' icon.
Under the 'Action' drop-down menu, select the notification style you would like to receive.
Select an existing user from the drop down menu below that, or provide the email address of the user you wish to receive these notifications. Note: When choosing the 'Notify' option, only existing Rubex users will be able to receive those notifications. If you wish for an outside email address or non-Rubex user to receive these notifications, please select the 'Email' option.
When creating notification settings, you must also determine when the notification is generated. These options include:
- When a file is downloaded
- When a file is uploaded
- When a file is deleted
At least one 'When' option needs to be selected.
Once you're satisfied with the setup of the notification setting, click on the 'Save' button.
