The Email Imports feature in Rubex is a new file-storing method that allows users to integrate their email accounts to automatically, and continuously, import emails they've received into Rubex. Users map a location in their Rubex account that will automatically import email messages or attachments from the email account of the user's choosing.
This feature is compatible with any online email provider that supports IMAP. It's accessible from both the Rubex Web interface and Desktop Application
** NOTE ** Email imports are an additional Key associated with specific packages in Rubex. If you're unsure if you have this feature please contact your account rep here at eFileCabinet.
How to set up Email Imports
In Rubex:
- Log into Rubex via the website or desktop app
- Create a folder or Drawer that you would like to use as your "Mapping Destination" for your email imports.
- This is the folder or drawer where you would like to store your imported emails in Rubex.
- The destination must be a folder or drawer, you cannot select a Cabinet or Workspace.
- go to the main menu in the top left of the screen > select MY SETTINGS
- in the left pane select "Email Imports" then select "Add New Mapping"
- you will be prompted to Select a Mapping Destination in Rubex. Select the folder or drawer that you created in step 2
- After you select a mapping location, you will see an EMAIL SETTING table populate in the center pane of the screen.
- The Email import settings must be obtained from your email provider/email server. Please enter that information in the provided fields.
- Select "TEST SETTING"
- If you don't test the mapping feature prior to creation, it may not work. You must always select "TEST SETTING" prior to creating the email import mapping.

- After you "TEST SETTING" and the test is successful you will then need to select if you want to import FULL EMAILS (this includes attachments) or if you'd like to only import Attachments
- Select the Email Folder Path
- This is the folder path within your email client that you would like to import into Rubex.
- you will then select where you would like the emails in your email server to be sent after import.
- Select CREATE
Please note that your security settings in your online email provider may need to be changed to allow this feature to operate.
If you don't know what the IMAP settings for your email are you can find them easily by going to Google.com and searching for your email provider IMAP settings. (ie. 'What is the IMAP server for Gmail')
